When people first look at adding a smart AI chatbot to their website, there's often a quiet assumption sitting in the background: that it somehow just 'knows' what to say. A bit of setup, a sprinkle of artificial intelligence, and off it goes answering questions like a seasoned member of the team ...

This guide will help you teach your smart AI chatbot to say the right things and improve its conversational skills

In reality, it's nothing like that. A good chatbot doesn't run on magic. It runs on your content. And that's exactly where most of the value comes from. The way a system like YourBOT works is surprisingly straightforward. Instead of guessing answers or pulling random information from the internet, it learns directly from the information you give it.

That means your FAQs, your website pages, your blogs, and even the
small but important details about how your business operates!

So the first step in training a chatbot is simple: start with the questions you already get asked. Every business has them. Opening hours. Pricing. Service areas. "Do you offer this?" or "How does that work?" These are perfect for FAQs, and they form the chatbot's quick-fire memory. When a visitor asks a familiar question, the bot can respond instantly, clearly, and without waffle.

From there, you build out using your website content. This is where your chatbot starts to feel genuinely useful rather than just reactive. By feeding in pages like your services, about page, policies, and guides, the bot can handle more detailed questions. It doesn't just parrot a line back as it understands the context and delivers a proper, helpful answer based on what you've already written.

Then comes one of the most overlooked sources of
training: real customer questions!

These are gold. Every enquiry you've ever received, every email you've answered, every conversation you've had with a potential client - they all reveal how people actually think and what they actually want to know. Adding these into your chatbot's knowledge base helps it sound more natural, more relevant, and far more aligned with real-world conversations.

And this is where things start to click. Because instead of trying to invent a personality or script from scratch, you're simply capturing what already exists in your business and organising it in a way the chatbot can use.

Behind the scenes, YourBOT don't just throw all of this information into one big pot and hope for the best. It is structured into different sources:

  • FAQs for quick answers,
  • URLs for deeper content,
  • RSS feeds for blog updates,
  • Sitemaps for shopping products
  • and Extra Details for short details.

That structure matters. It means the chatbot knows where to look, what to use, and how to respond depending on the question. The result is fewer guesswork answers, fewer mistakes, and a much more reliable experience for your visitors.

It also means you stay in control!

If something changes in your business, you update your content, and the chatbot reflects it. No retraining from scratch, no technical headaches - just a cleaner, smarter way of using what you already have - URLs, RSS feeds, and Sitemaps can be set to refresh every night.

So when it comes to what your AI chatbot should say, the answer is refreshingly simple. It should say what you would say, the way you want to say it. Clear. Helpful. Relevant. Based on real information, not magic fairy dust.

Just your business, organised properly and working for you around the clock. And once that clicks, your smart AI chatbot from YourBOT stops being a gimmick and starts becoming part of how your business actually runs.

Until next time ...
